Job Title: Business Manager                                       FLSA Status: Exempt

Reports to: President                                                  Work Schedule: Part-time/Full-time

Summary

Under the general direction of the President, this position maintains daily financial records and prepares monthly financial reports for the Oklahoma Brain Tumor Foundation; ensures that the financial system is accurate, efficient, and in accordance with professional accounting principles.  Manages employee benefits and maintains the Oklahoma Brain Tumor Foundations’ client and donor database.  Provides telephone back- up and works with clients when necessary.  Performs any other job-related duties requested by any authorized to give instructions or assignments.

The Business Manager is expected to serve as a public relations ambassador for the Oklahoma Brain Tumor Foundation and must demonstrate professional excellence and perform to the Oklahoma Brain Tumor Foundations’ standards of quality at all times.

Essential Duties and Responsibilities:

  • Prepares and maintains financial statements and reports including trail balances, income statements, and balance sheets for the Oklahoma Brain Tumor Foundation.  Researches variations from year to year.
  • Ensures the accuracy and completeness of financial data by reconciling with other financial and departmental reports; works closely with the president.
  • Sets up new chart accounts in financial system, completing linkage among all related systems including from the general Ledger and the financial statements. Maintains the vendor file for the financial system, entering new accounts and maintaining existing accounts.
  • Enters yearly budgets for the Oklahoma Brain Tumor Foundation and its various departments into the financial system.
  • Prepares and posts journal entries including deposits, revenues, corrections, and internal transactions. Reconciles and invoices related accounts receivables such as monetary donations and grant money.
  • Oversees payroll postings with out-sourced payroll service.
  • Manages and maintains employee benefits, such as health insurance, workers compensation, and retirement plans.
  • Performs related duties such as receiving and depositing funds; scheduling payment of bills; verifying accuracy of figures, calculations, and postings.
  • Coordinates and assists external auditor with OKBTF audits and research.
  • Works with the president on annual OKBTF tax returns and special financial reports, studies, and analysis.
  • Participates in annual budget preparation; determines expense allocations for all expense items in budget; provides current budget comparisons, reports, etc. as requested.
  • Trains other designated OKBTF employees on database system for the client and donor database.

Education and/or Experience

Bachelor’s degree from an accredited college or university with coursework in business administration or any other related field or equivalent combination of education and experience. Minimum three-year’s related experience in business administration or accounting with increasing levels of responsibility. Demonstrated experience in finance, budgeting, reporting, and accounting procedures a plus.

Skills and Abilities Required

  • Knowledge of principles and practices, bookkeeping, accounting, and the terminology and standard abbreviations used.
  • Knowledge of the standard procedures and methods followed in handling and recording cash receipts and disbursements.
  • Knowledge of basic arithmetic including; addition, subtraction, multiplication, and division.
  • Ability to maintain accurate records and work accurately with names, numbers, codes and/or symbols.
  • Ability to analyze and determine the applicability of bookkeeping and accounting data, to draw conclusions and make appropriate recommendations.
  • Ability to exercise discretion in handling confidential information and exercise sound judgment.
  • Must be able to multi-task and remain calm in chaotic situations; must possess ability to understand various OKBTF operations and procedures.
  • Ability to work and communicate with staff, clients and their families, donors, vendors, community agencies, etc. to meet their needs in a professional, polite, courteous, and cooperative manner.
  • Ability to meet face- to –face with a diverse clientele, develop rapport, provide information, counsel, and refer with sensitivity to cultural issues.
  • Must display a high level of initiative, effort and commitment towards completing assignments efficiently.
  • Ability to work with minimum supervision and demonstrate attention to detail.

Supervisory Responsibility:

In the absence of the President, Business Manager is directly responsible for oversight of employees and office volunteers.

Computer Equipment and Software Requirements

  • Basic word processing skills (i.e., Microsoft Office Systems, Quick Books).
  • Experience in use of standard office equipment.

Physical Demands

While performing the duties of this job, employees must possess the visual acuity read and write reports and the ability to perform repetitive tasks requiring manual dexterity, speed, and concentration. This position regularly requires the employee to sit for long periods; frequently is required to reach with hands and arms, and to speak and listen.

Work Environment

The employee will work in an office environment and in closed quarters with other staff and volunteers. The noise level varies from moderate to loud. Occasionally you will be working outside the office in the outdoors or other venues as required.

Job Title: Patient Navigator-Tulsa                                             FLSA Status: Exempt

Reports to: President                                          Work Schedule: Part-time/Full-time

Summary

Under the general direction of the President, this position works directly with brain tumor patients, families, caregivers, social workers, case managers, social service agencies and others in coordination of services and programs. Performs any other job-related duties requested by any authorized to give instructions or assignments.

Essential Duties and Responsibilities:

Case Management

· Assess client emotional and psycho-social needs

· Coordinates case management of clients

· Conducts support group meetings with OKBTF clients

· Refer clients to appropriate medical provider for treatment

· Develop care plan for clients

· Secure appropriate drugs for clients through pharmaceutical assistance program

· Communicate regularly with client regarding case management and policies

· Manage caseload in excess of 200 clients

  • Travel across the Eastern part of the State of Oklahoma to meet with clients, medical providers, social workers and service providers.

Medical Network Coordination

· Develop relationships with medical partners to optimize client care

· Identify potential network opportunities

· Educate providers regarding program services

· Communicate with medical providers regarding client care and OKBTF services

· Ability to establish and maintain effective working relationships with federal, state, regional, and local healthcare agencies, community organizations, staff and the general public.

Knowledge, Skills, and Abilities

· Fundamental knowledge and skills in social work assessment and intervention

· Knowledge of community resources and healthcare industry

· Microsoft office products (Word, Excel, Access)

· Sound interpersonal skills and able to multi-task and think critically in a fast paced environment.

· Ability to communicate effectively orally and in writing

· Good organizational and planning skills

· Ability to organize and prioritize work for multiple activities

· Team player and team builder

· Ability to work with individuals from diverse cultural, social and economic backgrounds.

Required Qualifications

· Minimum level Bachelors in Social Work or equivalent combination of education and experience.

· Ability to multi-task

· Ability to speak both Spanish and English a plus

· Ability to work independently with limited supervision

· Ability to meet deadlines and complete projects with success

· Reliable transportation
